What is Health X Institute

Health X Institute (HXI) is the education and health-coaching division of Health X Systems LLC. HXI provides evidence-informed health education, advanced health coaching, clinical-adherence support, behavior-change programs, and educational tools designed to help individuals better understand and actively participate in their health.

Our goal is to help bridge the gap between knowing what to do and developing sustainable ways to do it.

1

What is the mission of HXI?

2

Our mission is to bridge the gap between health knowledge and meaningful action through evidence-informed education, advanced health coaching, and innovative behavior-change programs.

Who does HXI work with?

HXI programs may support adults seeking greater understanding, structure, accountability, and behavioral support around their health.

Depending on the program, this may include people:

  • Living with chronic health conditions;

  • Adjusting to a new diagnosis;

  • Managing complex health routines;

  • Working toward sustainable lifestyle changes;

  • Experiencing difficulty consistently following an established care plan;

  • Seeking greater health literacy and self-management skills; or

  • Supporting a loved one living with chronic illness.

Eligibility and program suitability may vary.

3

What is health coaching?

Health coaching is a collaborative process designed to help individuals clarify health goals, identify barriers, strengthen self-awareness, develop sustainable behaviors, and take meaningful action toward their wellbeing.

Rather than simply telling clients what to do, coaching helps clients develop strategies that work within their individual circumstances.

4

Is HXI coaching medical care?

5

No.

HXI coaching and educational services are not medical diagnosis, medical treatment, emergency care, psychotherapy, or a substitute for care from an appropriately licensed healthcare professional.

Will I become Dr. Chicot's medical patient?

6

No.

Participation in an HXI coaching program does not establish a physician-patient relationship.

Dr. Joyan V. Chicot's medical education and prior clinical experience inform the perspective she brings to health education and coaching, but HXI coaching services are provided within the defined scope of the applicable coaching or educational program.

Can HXI diagnose a medical condition?

7

No.

Medical diagnosis should be provided by an appropriately licensed healthcare professional acting within the relevant professional scope.

Can my HXI coach prescribe medication?

8

No.

HXI coaching does not include prescribing medications.

Can you tell me to stop or change my medication?

9

No.

Medication initiation, discontinuation, dosing, or treatment changes should be discussed with the healthcare professional responsible for your medical care.

HXI may help you explore behavioral barriers that affect your ability to follow an established treatment plan and help you prepare questions to discuss with your healthcare professional.

Does HXI replace my physician or healthcare team?

10

No.

HXI is designed to complement—not replace—appropriate medical care.

One of our goals is to help clients become more informed, prepared, and actively engaged participants in their healthcare.

What is Clinical Adherence System?

Clinical Adherence System is HXI's structured coaching approach for helping individuals understand and strengthen the behaviors, routines, systems, and decision-making processes that influence their ability to follow an established health plan.

11

What does “adherence” mean?

12

Adherence describes the extent to which a person's health behaviors align with an agreed-upon health or treatment plan.

At HXI, adherence is not approached as a measure of whether someone is a “good” or “bad” patient.

We explore the real circumstances that influence health behavior—including understanding, routine, motivation, access, stress, competing responsibilities, beliefs, side effects, communication, environmental barriers, and other factors.

Is Clinical Adherence System only about medication?

13

No.

Medication can be one component of adherence, but health behavior is much broader.

Depending on the client's established healthcare plan and coaching goals, coaching may address routines related to appointments, monitoring, lifestyle behaviors, communication with healthcare professionals, self-awareness, organization, and other health-engagement behaviors.

What is Clinical Adherence System?

14

The Clinical Adherence System is an HXI framework that combines structured reflection, behavior tracking, coaching, adherence assessment, and progressive behavior-change strategies.

The program is designed to help clients move from simply receiving health instructions toward understanding how to consistently integrate appropriate health behaviors into everyday life.

What is the BSAI?

15

The Brain Snacks™ Adherence Index (BSAI) is an HXI self-assessment tool designed to help clients examine different dimensions of their adherence-related behaviors.

The BSAI is used for coaching and educational purposes.

It is not a diagnostic test, medical examination, or substitute for clinical assessment.

Why is my BSAI measured more than once?

16

Repeated assessment can help you and your coach identify patterns and observe how adherence-related behaviors change over time.

The purpose is not to achieve a “perfect score.” The purpose is to create greater awareness and identify areas where additional support or behavioral adjustment may be useful.

What happens if my score decreases?

17

A lower score is information—not failure.

Your coach may help you explore what changed, identify barriers, and determine what adjustments may make your health routines more sustainable.

Do I need to have a chronic illness to work with HXI?

18

Not necessarily.

Program eligibility depends on the specific HXI service.

Some programs are specifically designed around chronic illness and adherence, while others may focus more broadly on health behavior, health education, self-management, or wellbeing.

I was recently diagnosed. Is coaching appropriate for me?

19

It may be.

A new diagnosis can involve substantial amounts of information and behavioral change. Coaching can provide structure for understanding your goals, organizing questions, developing routines, and navigating the behavioral side of adjusting to a health plan.

Medical questions concerning your diagnosis or treatment should continue to be directed to your healthcare team.

Can caregivers participate?

20

Some HXI programs may accommodate caregivers or individuals supporting someone living with chronic illness.

Participation requirements, privacy considerations, and appropriate permissions will depend on the program and circumstances.

How do I know which HXI program is right for me?

21

Each program page explains its purpose, intended audience, structure, and inclusions.

Where appropriate, HXI may also provide an introductory or discovery process to help determine whether a particular coaching program appears suitable for your goals.

What happens after I enroll?

22

Depending on your program, your onboarding process may include:

  1. Creating your client portal;

  2. Reviewing and signing required agreements and acknowledgments;

  3. Completing your intake and health-history information;

  4. Completing applicable baseline assessments;

  5. Scheduling your first coaching session; and

  6. Receiving access to your program resources.

Your specific program will provide additional instructions.

Do I need special technology?

24

You will generally need a reliable internet connection and an internet-connected device capable of accessing the HXI client platform and participating in video sessions.

Specific technical requirements will be communicated where necessary.

How do I schedule a coaching session?

25

Eligible clients can schedule available appointments through the designated HXI scheduling or client-management platform.

Can I reschedule my own appointment?

26

Yes, subject to the scheduling rules of your program.

Clients will generally be able to manage eligible appointments through their client portal without needing to contact HXI manually each time.

What if I need to reschedule?

27

We understand that circumstances change.

Clients should provide at least 72 hours' notice when rescheduling whenever reasonably possible.

The applicable program and Cancellation & Refund Policy will explain the rules governing late changes.

What happens if I cancel less than 24 hours before my appointment?

28

Late cancellations may be treated as a used session and may not be eligible for refund or replacement, subject to the terms of your program, exceptional circumstances, and applicable law.

What happens if I miss a session?

29

A missed appointment without appropriate notice may be considered a no-show and may be treated as a used session.

Please review your program agreement and Cancellation & Refund Policy for the terms applicable to your enrollment.

What if HXI has to cancel my session?

30

If HXI must cancel or reschedule an appointment, reasonable efforts will be made to provide notice and arrange an appropriate replacement appointment.

Do I have to pay for the entire program at once?

31

Payment options depend on the program.

Where payment plans are available, the applicable payment schedule will be clearly disclosed before enrollment.

Is my enrollment deposit refundable?

32

Enrollment deposits are generally non-refundable, except where applicable law requires otherwise.

The amount and treatment of any deposit will be disclosed before purchase.

What is HXI's refund period?

33

HXI provides eligible clients with a three-business-day cancellation period, subject to the terms and exclusions stated in the HXI Cancellation & Refund Policy.

The applicable period begins as specified in the policy and enrollment agreement.

Does the three-business-day policy mean federal law requires every coaching company to provide three days?

34

No.

HXI's policy should not be interpreted as a representation that every coaching transaction is subject to a universal federal three-day cancellation requirement.

Certain transactions may carry cancellation rights under federal, state, or local law. Where applicable law provides rights beyond HXI's contractual policy, those rights will be honored.

What happens if I cancel after the three-business-day period?

35

Refund eligibility after the cancellation period depends on your applicable program agreement, services already provided, payment obligations, and any rights provided by applicable law.

Please review the HXI Cancellation & Refund Policy before purchasing.

What if I have a medical issue and can no longer participate?

36

Please contact HXI.

Depending on the circumstances, applicable program terms, and applicable law, options may include pausing, rescheduling, another reasonable accommodation, or other appropriate resolution.

Does HXI accept health insurance?

Unless expressly stated for a particular program, HXI coaching programs are offered on a private-pay basis.

37

We do not currently accept payments through FSA or HSA funds.

Can I use an HSA or FSA?

38

Will I be sharing health information with HXI?

39

Depending on your program, you may voluntarily provide health-related information relevant to your coaching goals, such as health history, medications, symptoms, routines, adherence behaviors, or healthcare recommendations.

Only provide information reasonably relevant to the services you are receiving.

How does HXI protect my information?

40

HXI uses administrative, technical, and organizational safeguards designed to protect personal information.

Additional information about collection, use, disclosure, security, and retention is available in the HXI Privacy Policy.

HIPAA applicability depends on the particular service, transaction, and legal relationship involved.

Collecting health information does not automatically make an organization a HIPAA covered entity or business associate.

HXI does not represent that every service or record is governed by HIPAA. Where HIPAA applies to a particular activity or relationship, applicable HIPAA requirements will be followed when due.

41

Is HXI HIPAA compliant?

Will my information be shared with my physician?

42

Not routinely.

Where coordination with a healthcare professional is appropriate, HXI may require your direction, permission, or authorization before sharing identifiable information, subject to applicable law.

Will my information be used for research?

43

Participation in HXI coaching does not automatically mean that you have consented to participate in research.

Where an activity requires separate research consent, authorization, or other legal requirements, those matters will be addressed separately.

Will you use my story as a testimonial?

44

Enrollment does not automatically give HXI permission to publicly identify you in promotional materials.

Where identifiable client information is proposed for a testimonial, case study, publication, or similar use, appropriate permission will be obtained where required.

Does HXI guarantee that my health will improve?

45

No.

Health outcomes are influenced by many factors, and no specific medical or behavioral outcome can be guaranteed.

HXI provides education, structure, coaching, tools, and support designed to help clients strengthen their engagement with their health.

What does success look like?

46

Success will differ among clients.

Depending on your goals, progress may include greater understanding of your health behaviors, improved organization, stronger routines, better preparation for healthcare appointments, greater awareness of adherence barriers, improved consistency, increased confidence, or greater engagement with your established health plan.

What if I am struggling during the program?

47

Tell your coach.

Difficulty is useful information in coaching. Rather than treating inconsistency as personal failure, we can examine the barriers affecting the behavior and identify an appropriate next step.

What should I do if I am experiencing a medical emergency?

48

HXI is not an emergency medical service.

If you believe you are experiencing a medical emergency, call 911 in the United States or contact the appropriate emergency service where you are located.

Do not wait for a coaching appointment or client-portal response.

Can I send urgent medical questions through the client portal?

49

No.

The client portal and coaching communication channels should not be used for medical emergencies or time-sensitive medical treatment decisions.

Contact an appropriate healthcare professional or emergency service when urgent medical attention is required.
