Cancellation & Refund Policy
Effective Date: September 7, 2026
Health X Institute, operated by Health X Systems LLC (“Health X Institute,” “we,” “us,” or “our”), is committed to providing transparent and fair terms for enrollment in our coaching, educational, and health-engagement programs.
By purchasing or enrolling in a Health X Institute program or service, you acknowledge and agree to the following Cancellation & Refund Policy.
1. Enrollment Deposit
Certain Health X Institute programs may require a deposit to reserve enrollment, onboarding time, program materials, or coaching capacity.
Unless otherwise expressly stated at the time of purchase, all enrollment deposits are non-refundable.
The amount of the required deposit will be disclosed before payment is collected. Where applicable, the deposit will be credited toward the total program fee.
The non-refundable deposit is separate from amounts that may otherwise qualify for a refund under our 3-Day Money-Back Guarantee.
Nothing in this provision limits any refund, cancellation, or other consumer right that cannot legally be waived.
2. 3-Day Money-Back Guarantee
We want clients to have an opportunity to determine whether a Health X Institute program is appropriate for them.
Except for the non-refundable enrollment deposit and any exclusions disclosed before purchase, a client may cancel enrollment within three (3) calendar days of the original program purchase date and request a refund of eligible program fees paid. That is, the CAS Onboarding Session or Pathway Consultation, once time initiates, whether in attendance or no show, are non-refundable.
A cancellation request must be submitted before 11:59 p.m. Eastern Time on the third calendar day following the purchase date.
If a refund is approved under this guarantee, the non-refundable enrollment deposit will be deducted from the amount returned.
Example
If the total program price is $1,500 and the client paid a $150 non-refundable deposit, the maximum amount eligible for refund under the 3-Day Money-Back Guarantee would be $1,350, assuming no other disclosed non-refundable charges apply.
3. After the 3-Day Period
After the 3-day refund period expires, program fees paid are generally non-refundable, except where otherwise required by law or expressly provided in the client's individual coaching agreement.
A client's decision to discontinue participation, failure to attend sessions, failure to complete program activities, or change in personal circumstances does not automatically create a right to a refund after the refund period has expired.
Clients remain responsible for amounts already due under their applicable enrollment or payment agreement.
4. Coaching Session Cancellation & Rescheduling
We understand that circumstances change.
Clients should provide at least 72 hours' notice to reschedule a scheduled coaching session whenever reasonably possible.
Sessions cancelled with less than 24 hours' notice, or sessions for which the client does not attend without notice, may be treated as used and may not be rescheduled or refunded, except in circumstances determined by Health X Institute or where otherwise required by law.
Repeated cancellations or missed appointments may result in a discussion about whether continuing the coaching relationship remains appropriate.
5. Program Cancellation by Health X Institute
Health X Institute reserves the right to discontinue or cancel a program, service, or coaching relationship when reasonably necessary.
If Health X Institute cancels a prepaid program and does not provide the contracted service or a mutually accepted alternative, the client will receive an appropriate refund for eligible services that were paid for but not provided, subject to applicable law and the terms of the client's agreement.
6. Payment Plans
A payment plan is a method of paying the agreed program price and does not, by itself, create a month-to-month program.
Cancellation of participation after the 3-day refund period does not automatically eliminate payment obligations that became due under the applicable enrollment agreement.
If a program is instead offered as a subscription, membership, automatic renewal, or continuous-service arrangement, the renewal and cancellation terms presented at enrollment will govern, together with applicable law.
Clients will not be charged an automatic renewal unless the applicable renewal terms and authorization have been provided as required.
7. Automatic Renewals and Subscriptions
Where Health X Institute offers an automatically renewing membership or continuous service, the price, billing frequency, renewal terms, cancellation deadline, and method of cancellation will be clearly disclosed before enrollment.
Clients may cancel an automatic renewal using the cancellation method provided with their enrollment information. Cancellation of future renewal prevents future eligible renewal charges but does not necessarily create a refund for services already purchased or provided.
8. Digital Materials and Program Resources
Access to proprietary Health X Institute materials—including workbooks, assessments, educational resources, frameworks, videos, downloadable materials, or other intellectual property—may be terminated when an enrollment is cancelled or refunded.
Cancellation or refund does not authorize a client to reproduce, distribute, publish, sell, share, or otherwise use proprietary materials beyond any rights expressly granted at purchase.
9. How to Request Cancellation or a Refund
To request cancellation or a refund, clients should use the cancellation method identified during enrollment or contact Health X Institute through the contact information provided on our website or within the client's program portal.
The request should include:
- Client's full name;
- Email address associated with the enrollment;
- Program or service purchased; and
- Date of purchase.
The effective cancellation date will generally be the date on which a valid cancellation request is received.
Approved refunds will ordinarily be returned to the original payment method. Processing times may vary depending on the payment processor or financial institution.
10. Medical or Health Circumstances
Health X Institute provides health coaching and educational services and does not guarantee particular medical or health outcomes.
If a medical circumstance affects a client's ability to continue participating, the client is encouraged to contact Health X Institute. Depending on the circumstances and applicable program terms, Health X Institute may consider reasonable alternatives such as pausing participation, rescheduling services, or another appropriate accommodation.
Such consideration does not create a general entitlement to a refund outside this policy.
11. No Guaranteed Outcomes
Refund eligibility is based on the terms of this policy and not on whether a client achieves a particular health, behavioral, financial, professional, or personal outcome.
Individual results vary, and participation in a Health X Institute program does not guarantee any particular result.
12. Consumer Rights
This policy is intended to supplement—not waive or restrict—rights that consumers may have under applicable federal, state, or local law.
If any provision of this policy conflicts with a non-waivable legal right, applicable law will control.
